1. Who we are
We are Cohesion Retail Management Services Ltd, a company registered in England and Wales with registered company number 10926217. 2. What information do we collect from you?
When you submit your application for employment we will hold details of your name, address, contact information including your phone number and email address. We will also hold any additional information you provide to us, such as your CV and answers to any recruitment screening questions.
3. Why do we collect this information?
We collect these details so that we can process your application for employment and to create an employment record in the event that you are subsequently employed by us. We may also use the information provided to verify that the information you have submitted in your application is valid and, if appropriate, to request references from person(s) whose details you provide to us.
4. What do we do with your information?
Your information will be securely stored in our cloud based applicant tracking system (ATS), part of our employment portal operated by The Access Group. It will only be accessible to members of our organisation and associated companies who are directly engaged in the specific vacancy recruitment process and to our Human Resource administrators. The information is used to select candidates for interview, to contact candidates and to verify the accuracy of the information provided. We process this information on the basis of our legitimate interest to do so until such time when / if you become an employee, in which case we will process your data on a contract basis. Following a successful application your data will remain in the ATS and employment portal, and will likely be added to rota software also operated by The Access Group.
5. How long do we keep hold of your information?
We retain your information for as long as necessary in order for us to complete the recruitment process and for a period of up to two years following the closing date of the vacancy if you are unsuccessful to cross reference against any subsequent application made within this period. We will retain employee information for a period of up to seven years after the date of the termination of employment (for whatever reason), subject to legal obligations requiring us to retain data for a longer period.
We will delete and / or rectify any of your information which we are not legally required to retain on receipt of a formal request to do so.
6. How can I access the information you hold about me?
You may make a formal request to view the information we hold about you. This is called a Subject Access Request (SAR). You may make such a request to us either verbally or in writing. When we receive such a request, we will process it as quickly as possible, usually within one month and if we believe it may take longer than one month to complete the request, we may extend this timeframe by two further months. We will not usually make a charge for providing this information, but we may choose to levy a reasonable fee if the request is manifestly unfounded or excessive, particularly if it is repetitive. Information will be provided in a commonly used electronic format, such as a csv file. We may need to verify your identity prior to providing any information to you, in such instances we may require your assistance in order to verify your identity. We will not be able to provide information if we are unable to verify your identity and / or until any fee is paid in full.
